# Adding Your First Client
It all kicks off in Dext Precision when you add your first client. A Client in Precision is linked to an Organisation in Xero, or a Company in QuickBooks Online.
After you register you'll be taken to the home page. This is where your team's clients will live once they've been imported from your accounting software.
Clicking Import your first client will give you an option to select which accounting software you would like to import your first client from; either Xero or QBO.
If you select Xero, the app will take you to Xero, and you will be asked to login if you haven't already.
You'll then be asked to select the Xero organisation you want to connect to Dext Precision, and allow access to the data for import.
If you select QBO, the app will take you to QBO, and you will be asked to login if you haven't already. If you have more than one Company in QBO, you’ll then be asked to select the Company you want to connect to Dext Precision, and allow access to the data for import.
After allowing Precision access, you'll be redirected back to the app, where the initial sync process will begin. This can take between 1 and 45 minutes depending on the size of the client.
Once the initial sync is finished, your client is ready for analysis - go forth!

# Client List
This is your Team home page in Dext Precision, and also where you can add, search and access each of your clients. In this view, you can choose to display all clients, only the clients you are an Account Manager for, or the ones you have selected as favourites. Click on each of the client cards to view the Client Overview for that client.
You can sort and filter your clients from this view for an at-a-glance practice overview. Sort by the general Client Health Score, or select an insight metric and choose to sort by either it's individual Health Score or the number of issues identified for that insight (i.e., by volume). You can choose to sort ascending or descending, and combined with the filtering of the list by My Accounts and Favourites, the "at a glance" reporting potential is quite powerful.
In each of the client cards, on the left you can view the company name, and their last sync date. A small pink padlock icon indicates that the client is no longer linked to Xero, and you will need to re-link that client by clicking in to their Client Overview.
On the right of the client card, you can view the client's metric (if one is selected from the dropdown), their overall health score, the account manager's icon, a star button for selecting that client as a 'favourite' and a three-dot menu icon - clicking this menu icon will allow you to view that client in Xero, sync with Xero or delete.
# Inviting Team Members
If you're the team owner, you can invite other people to become members of your team in the Team Members section of the Manage Team list in the sidebar, or via the Invite Team action in the menu underneath your user icon in the top-right corner of Dext Precision. This will also take you through to the Team Members view.
An invite will be emailed to your colleague with a link to Dext Precision. When they click on the link in the email to accept, they'll be asked to sign up and provide login details. They'll be automatically added to your team via this process.

WARNING
Dext Precision is designed for inviting internal team members only. We recommend you either use Dext Precision's Export functions to share Dext Precision data with clients, or create a separate Dext Precision team for that client.
____________________________________________________________________________________________________________
If you invite clients as team members, while you can set Client Visibility settings, those users will still be able to see the names and email addresses of other users in the team in some parts of Dext Precision.
# Syncing with Xero
When a client is first linked to Dext Precision, the initial sync imports all the historical information available from Xero.
Once the initial sync is complete, subsequent syncs only look for and import the changes since the last sync, which is much faster. You can see the last time a client was successfully synced on the card in the Client List, and on the Client Overview.
Dext Precision will sync with Xero to get the latest changes each night. If you make some changes in Xero and don't want to wait for the overnight sync, you can also start a manual sync. This can be done using the Sync Now button available on the Client Overview:
or from the options menu of a client on the Client List page:
TIP - Think your sync is taking too long? Our troubleshooting may help. |
# HMRC & VAT (UK Only)
Never let a filing date slip by again: If your clients are MTD-ready. Dext Precision can connect to HMRC to pull back important information on your clients' VAT filings, current connection status and obligations.
# Getting set up
In the HMRC integration card, you’ll see your HMRC connection status; this manages your connection in Dext Precision as a business or agent with HMRC, and will allow you to see the HMRC data for all your eligible clients. You can use the links on this card to understand more about the HMRC agent sign-in process.
# Using the data
There are three main areas you will be able to access the information from HMRC for your clients:
- Practice Dashboard
Within the Practice Dashboard, if you scroll to the far right, you will be able to view a new section called “MTD VAT”. This is really handy for getting an overview of all your clients HMRC connection status, key VAT dates and status for the latest period.
- HMRC Dashboard
Your location for all things MTD in your practice. Each row is a VAT period detected by Dext Precision for each client, including the filing period, due dates, status, amount and outstanding values.
- VAT Return Checks
-
Under the heading Tax Status, the first card will now show the submitted VAT total for the period. (if you are not connected to HMRC, or there is no HMRC data available for the selected period, you will be shown an estimated VAT total).
-
HMRC status will list your current VAT obligations;
- Filing and Payment Status lists your filing obligations, and of the filed returns, which ones have been paid.
- Payment History provides the date of your last submitted payment that Dext Precision could detect. Opening this card lists all VAT payments you have made to HMRC by date.
-
Future VAT Liability is an estimated value based on current Aged Receivables and Aged Payables.
- VAT Control Account will reconcile your outstanding VAT liabilities with the VAT control account, to detect any differences.
TIP If you have just connected to HMRC, your Dext Precision clients will need to refresh before the data can be collected. You can either wait 24 hours for all your clients to refresh automatically, or refresh each of them manually. |
